Administrative
Assistant (Part Time)
Heritage
Square Museum is seeking a sharp, computer savvy and organized part-time
Administrative Assistant. This is a perfect opportunity for a person to
strengthen their office skills, learn various facets of museum operations and
gain non-profit experience.
Duties:

Perform
regular secretarial duties, answers telephones, prepares correspondence and
reports as requested by staff and composes draft letters following
established formats.

Proofread
all materials for accuracy prior to supervisory review and signature
including: prospective volunteer mailings, group and school tour forms,
grant proposals, membership mailings, press releases and newsletters.

Create
and manage the file system, spreadsheets, data entry and database
maintenance.

Manage
scheduling/appointment calendar, establish & confirm meetings, assist
staff with bulk mailing preparation and
routing incoming and outgoing mail as needed.

Monitor
office supply inventory and order supplies as necessary and manages
inventory of office equipment and service contracts, and perform routine
maintenance activities and contacting service representatives as needed.

Proficient
typing skills (40-50 wpm). Excellent
computer skills for both PC and MAC. Must
be skilled with MS Word, Excel, Outlook, Access, Illustrator, and other PC
and MAC applications.

Ability
to lift up to 40 pounds and stand/sit for long stretches of time.

Excellent
attention to detail, excellent organization, and follow through skills.

Proficient
written and verbal communication skills. A team player with a winning
attitude.
Qualifications:
Associate’s degree required; Bachelor’s preferred; at least 2 years
experience in administration and/or non-profit work environment.
Qualified candidates must demonstrated ability to produce completed
projects, be efficient in their approach to their work, and proficient and
professional in the office environment. Interest
in and knowledge of the history of Southern California from the mid-19th century
to the present is desirable. Only
local residents will be considered. This
is a part-time position with 20-25 hours a week and no health benefits.
Compensation: $10 to $12 per hour, depending on experience.
Some weekend hours and attendance at volunteer/staff training are
required.
Heritage
Square Museum is a non-profit institution for the preservation and
interpretation of Southern California’s history.
Through the museum’s buildings, collections, exhibits, and programs, we
present the cultural and social history of Southern California from 1850 to
1950.
